Supervisor - Health Information Management Release Information

LOCATION: Downtown Clinic - 555 North 30th Street
MAJOR RESPONSIBILITIES & DUTIES:
Provides direct oversight and supervision of release of information (ROI) staff, to ensure release of information responsibilities are performed in compliance with the Federal, State, JCAHO, and BTNRH policies pertaining to privacy and disclosure of Protected Health Information (PHI).
Supervises the release of information work queues and dashboards in Epic to ensure productivity, timeliness, and quality standards are met. Adapts to changes in the work environment and workload, making necessary adjustments to support the ROI team, and promote equity in work assignments. Assists staff in the event of a backlog of work to maintain timeliness standards.
Prepares reports available in Epic ROI module and Vital Center Online (VCO) to monitor release of information activities, track trends, and analyze release of information workflows, staffing patterns, productivity, and quality results; implementing changes when appropriate, to resolve issues and improve workflow efficiency and quality. Serves as point of contact for all ROI audit requests, external auditors and BTNRH hospital, clinics and behavioral health areas.
Develops and maintains quality assurance (QA) monitoring for ROI staff. Monitors reports to ensure incoming phone calls are answered in a timely manner, correct information is disclosed, and in professional and courteous manner with resolution reached prior to the end of call or transfer.
Ensures proper supervision of daily activities of ROI staff, providing coaching, mentoring, and discipline as necessary. Oversees the interviewing, selection and evaluation of performance of release of information staff. Accountable for providing orientation and training for new staff, as well as ongoing training and process improvement for current staff, including education on HIPAA, compliance policies and procedures.
Participates in the development and implementation of policies and procedures associated with release of information. Works closely with department leaders, legal and compliance on release of information issues and/or concerns.
Provides representation on committees, meetings as it relates to release of information functions.
KNOWLEDGE, SKILLS, AND ABILITIES:
Ability to acquire knowledge and understanding of regulatory and accreditation requirements relative to release of information standards and principles.
Ability to manage staff and coordinate activities, provide guidance, and organize work to meet deadlines and resolve issues.
Ability to collaborate constructively with clinicians, department managers, administration and staff.
Ability to resolve conflicts and interact with staff in an open, communicative manner to encourage problem solving and teamwork.
Ability to serve as subject matter expert in areas of release of information.
Ability to communicate clearly and concisely both orally and in writing with all staff, physicians, and patients in all aspects of the job to allow efficiency and promptness for patient care.
Proficient use of Microsoft applications, Outlook, Word and Excel.
Ability to safeguard the privacy of the patient record, maintaining strict confidentiality.
Ability to serve as a positive role model, supporting the mission of the organization.
REQUIRED QUALIFICATIONS:
Associate's degree in Health Information Management, Business, or a related field or equivalent combination of education and experience is required.
Minimum 3 years of experience with software applications, as they apply to the computerized patient record is required.
PREFERRED QUALIFICATIONS:
Bachelor’s degree preferred.
